Event Policies for the Doudna Fine Arts Center
To fulfill the Doudna Fine Arts Center鈥檚 mission 鈥溾o join with our community in a celebration of human creativity and artistic inspiration鈥 we have set forth the following scheduling policies and priorities. All scheduling decisions will be at the discretion of the central Doudna Office.
Scheduling Priorities:
The list below is in order of priority to meet the Doudna Fine Arts Center鈥檚 mission. All events will be on a first come first serve basis. However, in the case of two conflicting event requests the priority listing below will determine which event is approved. Also, no events that call into categories 4-7 will be scheduled until after the performance season is scheduled.
1. Academic performances/events for the departments of Art, Music, and Theatre.
2. Doudna鈥檚 Premier Performances.
3. 91成人视频 admission鈥檚 events.
4. N&EA Funds Guest Performers.
5. Arts related community events, camps, and performances.
6. College of Liberal Arts & Sciences events.
7. All other 91成人视频 entity events.
8. Student RSOs
9. Private events.
Recognized Student Organizations:
A Recognized Student Organization (RSO) is limited to non-production types events. (Guest speakers and receptions). This means no more than one crew member is assigned to the event, the event cannot need a light/sound board operator, and no special effects or theatrical lighting. The exception to this is the 91成人视频 Dancers who are sponsored by the Theatre Department and the Doudna Fine Arts Center. Approval of RSO requests will be made on an individual basis.
Private Events:
For all events that that are requested by non-91成人视频 entities the requestor must provide a certificate of liability insurance for one million dollars ($1,000,000) that specifically lists 鈥淏oard of Trustees, Eastern Illinois University鈥 as also insured. Proof of coverage must be provided no later than two (2) weeks prior to the event. For more information on coverage feel free to reach out to Dennis Malak at dfmalak2@eiu.edu.
Events with Food/ Alcohol:
If you wish to have an event that includes a reception with food and drinks you are required to use a caterer that is permitted / or submit your own permit application with the Coles County Health Department. If you will be requesting use of alcohol with your event you will need to contact the MLK Union to provide those services. Billing Policies:
Venues within the Doudna Fine Arts Center are billed in half day increments. A half day is 0-6 hours and a full day is 6+ hours. This includes all rehearsal, load in, and load out days. Rental rates begin when the staff arrives on site for the event (no more than 陆 hour prior to the listed arrival time on the use form, unless changes are requested).
Rates vary based on if the requesting entity is part of 91成人视频*, sponsored by the Doudna or one of the departments of Music, Theatre, or Art + Design**, if the group is a registered non-profit*** , or private for profit. Included in the venue rental is the use of the Doudna Greenroom and Dressing Rooms. Rates are provided in the table below.

Staffing covers all crew from the set up through the event and tear down. Staffing is billed in 陆 hour increments. Rates vary based on if the requesting entity is part of 91成人视频*, sponsored by the Doudna or one of the departments of Music, Theatre, or Art + Design**, if the group is a registered non-profit***, or private for profit. Staffing is broken down into the following hour rates.

All usable goods are rented per item. Any equipment or goods that Doudna does not have, or if the entity is requesting more than the Doudna has, will be rented by the Doudna and the cost will be added to the final bill after the event. See below for standard item costs.

For all ticketed events, performances, and productions venues are billed by the day only. This includes all advance tech, rehearsal, load in, and load out days. Rates vary based on if the requesting entity is sponsored (SP) by the Doudna or one of the departments of Music, Theatre, or Art + Design*, if the group is a registered non-profit(NP)**, or private for profit (FP). Rates are provided in the table below.

Production staffing covers all stage crew from the build and load in through the production and load out. Staffing is billed in increments of 陆 hour. Rates vary based on if the requesting entity is sponsored by the Doudna or one of the departments of Music, Theatre, or Art + Design*, if the group is a registered non-profit** or private for profit. Staffing is broken down into the following 1-hour rates.

Any event, concert, production, performance that will have seats sold will require all sales to go through the Doudna Fine Arts Center Box Office. All tickets will have an added fee, per the table below, added onto the price of the ticket as set by the requesting entity. Rates vary based on if the requesting entity is sponsored by the Doudna or one of the departments of Music, Theatre, or Art + Design*, if the group is a registered non-profit**, or private for profit. Fees cover the cost for the Box Office, Ushers, House Managers and Ticket site. The Doudna offers convenient ticketing. Patrons can pick up tickets at the Box Office, call to order, order online and pick up, or skip the line and print their tickets at home! The fee schedule per ticket is listed below.

**To be sponsored, the requesting entity must have the backing of one of the Departments of Music, Theatre, Art + Design, or the Doudna Fine Arts Center. (Ask for Sponsorship Agreement if you would like to request sponsorship.)
***To receive the non-profit rate, the group requesting the event/activity must provide a valid copy of their current 501c3 paperwork.
